Privacy policy

Teach Playbook (teachplaybook.com) is operated by Teach Playbook LLC (“we”, “us”). This policy explains what we collect and how we use it.

The short version: we collect your email address so you can sign in, and we store the plays, team information and other content you create or upload so your team can use them. We don’t sell your information or show ads.

What we collect

• Your email address, to create your account, send you sign-in links and codes, and contact you about your account.
• Content you create: plays, player assignments and notes, and team names.
• How plays are used: when you run a play, it’s sent to our server to work out the animation. It isn’t saved unless you save it, and the finished animation may be kept briefly so repeat runs are faster. We also count how many times plays are run each day, per team and by role (coach, or player and parent), and whether it was a team play, a change being tried, a private variation or an example. We use these totals to understand how Teach Playbook is used, such as which features coaches and players find helpful, so we can improve it. They’re totals only; we don’t record who ran which play.
• Team membership: which teams you belong to, your role (owner, coach or viewer) and when you joined. A team’s owners and coaches can see its members’ email addresses.
• Names on a team: coaches and owners may add a short display name. Parents and players can only add “Parent” or “Player” with jersey numbers — we don’t accept names for them, so no child’s name is stored. Visible to the team’s owners and coaches.
• Team details (optional): the ZIP code of the team’s home field, town, state, age group, level and league, and when the team was created. Visible to the team’s members.
• Basic technical and security information, such as IP address, browser and device (user-agent) information, sign-in events and request logs, which we and our providers record to keep the service running and secure.

What we don’t ask for

We don’t need, and don’t ask for, players’ home addresses, phone numbers, dates of birth, health information or precise location. We don’t use advertising trackers and don’t sell personal information. We encourage teams to identify players in plays and notes by position or jersey number rather than full names.

How we use it

Only to run and improve Teach Playbook: signing you in, showing your plays to you and your team, understanding from totals how the app is used, preventing abuse, fixing problems, and telling you about important changes. We don’t sell your information, share it with advertisers, or use it to build advertising profiles.

We look at your content only when needed to provide support you’ve asked for, investigate abuse or a security problem, or comply with the law. For troubleshooting, our administrator can view the app the way a specific team member sees it. These sessions are read-only (nothing can be changed on your behalf) and every one is logged.

Cookies and browser storage

We don’t currently use advertising or analytics cookies. If that changes, for example to measure our own advertising, we’ll update this policy before it happens. Your sign-in session is stored in your browser so you stay signed in.

On the sign-in form, Cloudflare Turnstile processes technical browser and network signals (such as IP address and user-agent) to tell people from bots. See Cloudflare’s Turnstile Privacy Addendum.

Services we use

We use a small number of providers to run Teach Playbook. They process your information on our behalf and only as needed to provide their service:

• Cloudflare: hosting and bot protection
• Supabase: accounts and the database that stores your plays
• Resend: sending sign-in emails

Your account information and plays are stored in the United States (our database is in the western US). Cloudflare delivers the site from data centers around the world.

Children

Teach Playbook accounts are for coaches, parents, guardians and other authorized adults, and for players 13 and older. Children under 13 may use Teach Playbook only through access a parent or guardian provides and supervises, such as the parent’s own account. They may not create their own account or give us personal information directly.

If you believe we have collected personal information directly from a child under 13, email support@teachplaybook.com and we’ll delete it.

Keeping and deleting your information

We keep your account and content while your account is active. To delete your account, email support@teachplaybook.com from the address you sign in with. We’ll delete your account, your personal plays and your private variations. Plays saved to a team stay with that team, because they belong to the team’s playbook. Backups and logs are removed on our providers’ normal schedules. Play-run counts are totals that don’t identify anyone; we keep them to see how use changes over time, and delete a team’s counts if the team is deleted.

Your choices

You can ask to see, correct or delete the personal information we hold about you by emailing us. We’ll respond within a reasonable time.

Security

Connections to Teach Playbook are encrypted, and sign-in uses one-time links and codes rather than passwords. We use access controls designed so team plays are only visible to that team’s members, and we test them automatically. We also limit how quickly an account can make changes, and keep a short record of accounts that go over that limit (the account, the time and the kind of request, never your plays) for up to 30 days, to spot and stop automated abuse. No system is perfectly secure, but we work to protect your information.

Changes

If we change this policy in a meaningful way, we’ll update the date above and let you know by email or on the site before the change takes effect.
